Fractional CFO-Type Financial Systems Builder (Hands-On QuickBooks) for Growing Business

Apply Now ✨
I operate a growing high-end boutique Goldendoodle breeding business focused on premium genetics, structured customer experience, and disciplined operational growth. The business is financially healthy and scaling, but operational complexity has increased due to biological production cycles, uneven revenue timing, and rising fixed overhead. I am looking for a financial systems thinker who can bring clarity and structure to support the next phase of growth. This is NOT a bookkeeping role. I already have a bookkeeper handling reconciliations and day-to-day accounting. This is also NOT a dashboard or BI tool project. I am intentionally keeping financial visibility inside QuickBooks to maintain operational simplicity and decision clarity. I am seeking someone who thinks like a CFO but can execute tactically and directly inside QuickBooks. The goal is to build a practical, durable financial management system — not a theoretical framework. Key Outcomes: • Forward-looking cashflow visibility inside QuickBooks • Clear revenue pipeline tracking tied to operational production cycles • Deposit tracking structure and reporting • Cost-per-unit profitability clarity • Monthly operational KPI reporting • Clear understanding of break-even production levels • Improved financial architecture (chart of accounts, classes, structure) • Clean visibility from Stripe-driven revenue into QuickBooks • Financial clarity that supports confident operational decision-making This role requires both strategic financial thinking AND hands-on QuickBooks implementation. Candidates who primarily operate at a conceptual level without building systems themselves will not be a fit. Ideal Candidate Profile: • Native English speaker based in the United States • Exceptional communicator — clear, structured, practical • Experience building financial systems for operational or production-based businesses • Strong hands-on QuickBooks implementation experience • Comfortable working with real-world, imperfect financial data • Thinks in terms of cashflow, risk, operational cadence, and decision support • Not dependent on introducing additional tools to create clarity • Enjoys solving complex but practical business problems • Experience with agriculture, livestock, manufacturing, or production businesses is a strong plus • Experience integrating Stripe-based revenue flows into QuickBooks is valuable • Personal interest in animal-related businesses is a bonus but not required Project Scope (Phase 1): • Review current financial structure and reporting • Redesign key financial architecture inside QuickBooks • Implement forward-looking financial visibility • Improve revenue and deposit tracking clarity • Build practical management reporting framework • Document systems for ongoing internal use Success for this project means: I can open QuickBooks and clearly understand: • Cash runway • Revenue pipeline • Operational financial risk • Cost structure • Monthly financial safety Engagement Details: • Initial strategic build engagement with potential for long-term advisory role • Prefer fixed Phase 1 scope with defined deliverables • Strong preference for US-based candidates to ensure communication efficiency About the Business: This is a premium boutique breeding operation with a strong reputation, structured customer demand, and a focus on long-term sustainable growth. Operational complexity is real and increasing, which is why this role is being created. To Apply: Please answer ALL screening questions below. Applications without responses will not be considered. 1. Describe a time you redesigned the financial structure of an operational (non-SaaS) business. What specifically did you change inside QuickBooks? 2. What is your philosophy on improving financial clarity inside QuickBooks versus introducing external reporting tools? 3. Give an example of a messy financial situation you helped bring clarity to. What was the business problem and what did you implement? 4. How do you approach building forward-looking cashflow visibility for a business with uneven revenue timing? 5. What hands-on experience do you have integrating Stripe revenue flows into QuickBooks? 6. Are you personally doing the QuickBooks system design and implementation, or working through a team? 7. Confirm you are US-based and describe your typical communication style with founders/operators. 8. Why does this type of practical financial systems challenge interest you?
