Position Overview
arenaflex is seeking a proactive Customer Organization Engagement Specialist to provide administrative and project support to our Employee Engagement & Insights Team. In this role, you will be the connective tissue that ensures employee life‑event acknowledgments, meeting logistics, vendor management, and budget reconciliation are executed flawlessly. This position is based at our Dallas headquarters and requires on‑site presence during standard business hours.
Key Responsibilities
- Attend and actively contribute to regular team and department meetings, ensuring all action items are captured and followed through.
- Coordinate end‑to‑end logistics for employee engagement initiatives, including venue booking, catering, technology setup, and on‑site support.
- Prepare, format, and distribute meeting materials, presentations, and post‑meeting reports using PowerPoint, Word, and Excel.
- Track and process vendor invoices, reconcile departmental budgets, and provide timely financial updates to senior leaders.
- Document project milestones, create visual flowcharts, and maintain project documentation in a centralized repository.
- Serve as the primary point of contact for internal stakeholders, external vendors, and cross‑functional partners via email, phone, and in‑person communication.
