The Schlegel-UW Research Institute for Aging (RIA) is a charitable non-profit organization dedicated to enhancing care and quality of life for older adults. The Project Coordinator will support program delivery and knowledge mobilization by coordinating project workflows, maintaining documentation, and collaborating with partners across various sectors. Responsibilities - Support the coordination and implementation of projects by tracking progress, maintaining organized files and databases, and assisting with data collection and entry - Prepare proofread materials, coordinate meetings (scheduling, materials, minutes) and support translation and mailouts - Support the sharing of project findings and insights through presentations, reports, promotional materials, and web content - Contribute to internal and external committees, working groups, and collaborative initiatives - Pro-actively and regularly communicate with supervisor and project team regarding assigned work, including communicating obstacles and challenges as they arise - Consult with team members about their needs and liaise between team members and supervisor - Actively participate in team and organization-wide meetings virtually and in-person - Coordinate in-person and virtual events and presentations, including logistics, materials, and catering - Provide meeting support, including preparation and minute-taking - Take on additional tasks, activities and special projects, as they arise Skills - Post-secondary diploma or degree in social sciences, public health, or health services research or equivalent experience - A minimum of 1 year of experience in project coordination and/or project administration - Experience in event planning, whether through school, volunteering, or previous work - Excellent communication skills and a genuine interest in collaborating with diverse partners and equity-deserving groups - Strong organizational habits and a self-starter mindset, with the ability to stay on top of details and anticipate next steps - A collaborative spirit and the ability to work effectively within a team toward shared goals - Adaptability and problem-solving approach when priorities shift or new challenges arise - A continuous learning mindset, showing excitement for professional development and new ways of working - Confidence using digital tools, including Google Workspace and Microsoft Office, and a willingness to learn new systems like CRMs and databases - Fluency in English - Eligible to obtain a clear police background and record check - Eligible to work in Canada - Familiarity with the healthcare or research sector, specifically involving older adults, care partners, clinicians, or researchers - Fluency in French is an asset but not required Benefits - Extensive benefit package inclusive of health, dental, RRSP matching, and paid personal days. - Hybrid working options available for team members.
