About the Role
We are seeking a highly motivated and experienced Customer Service and Dispatch Specialist to join our team. As a key member of our operations, you will play a vital role in ensuring that our customers receive exceptional service and that our technicians are dispatched efficiently to meet their needs. Key Responsibilities
- Oversee the day-to-day operations of our remote office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments.
- Coordinate the scheduling of technicians for service calls, installations, and repairs, ensuring that jobs are ready for scheduling and that technicians have the ability to arrive on time.
- Dispatch technicians to job sites in a timely and efficient manner, monitoring their schedules and adjusting as needed to accommodate emergencies or last-minute changes.
- Serve as the point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints, ensuring excellent customer service by promptly responding to customer inquiries and resolving issues in a professional manner.
- Organize and maintain systems for documents, invoices, and client records, processing payments from customers and following up on overdue accounts as necessary.
- Assist in setting up and implementing ServiceTitan, our dispatching software, and perform additional responsibilities to support the growth of the company.
Essential Qualifications
To be successful in this role, you will need to have:
- Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services.
- Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan.
- Excellent time management skills, with the ability to multitask and prioritize work in a fast-paced environment.
- Attention to detail and problem-solving skills, with the ability to think critically and make sound decisions.
- Excellent communication skills, with the ability to communicate effectively with customers, suppliers, and team members.
- Familiarity with plumbing/HVAC/service terminology, processes, and materials, which can be beneficial for understanding the business and communicating effectively with technicians and customers.
- A clear background check, which is a requirement for this position.
Preferred Qualifications
While not essential, the following qualifications are highly desirable:
- Previous experience in a customer-facing role, with a proven track record of providing exceptional customer service.
- Experience working in a remote or virtual environment, with the ability to self-motivate and work independently.
- Knowledge of the trades industry, with a understanding of the challenges and opportunities that our customers face.
- Certifications or training in customer service, dispatching, or a related field, which can demonstrate your commitment to professional development.
