Key Responsibilities – What You’ll Own Every Day
- Return‑Claim Processing & Data Integrity
- Enter each retailer’s return claim into arenaflex’s Customer Information System (CIS) with meticulous attention to the Data Entry ID, Account Number, claim amount, title, and date.
- Monitor system acceptance/rejection flags, compare Return Forms to CIS data, and resolve mismatches before the 2:00 PM Friday deadline.
- Document any discrepancies, flag exceptions, and escalate high‑volume issues or barcode anomalies to the supervisor for rapid remediation.
- Customer & Driver Communication (Inbound & Outbound)
- Answer inbound retailer and independent‑contractor driver calls, providing clear, courteous assistance and troubleshooting.
- Make outbound calls to follow up on account issues, service changes, new product roll‑outs, holiday closures, and other initiatives as directed by management.
- Coordinate issue resolution across retailers, drivers, arenaflex sales representatives, and internal teams, ensuring timely closure of each case.
- Invoice Review & Collections Support
- Conduct weekly reviews of retailer invoices and collection status for assigned routes.
- Initiate follow‑up actions such as order adjustments, billing dispute resolution, delivery problem investigations, and documentation of collection efforts.
- Maintain accurate records of all communications and resolutions within the CIS.
- Documentation & Records Management
- File and organize return forms, bills, and any ancillary documents required by arenaflex management.
- Support cross‑departmental backup activities, stepping in wherever operational continuity is needed.
- Compliance & Safety
- Adhere to arenaflex’s safety policies, attendance standards, and the guidelines set forth in the Employee Handbook and Safety Manual.
