About the Role: The Admissions Coordinator plays a critical role in ensuring clients and their families experience a seamless, welcoming, and supportive process from inquiry to admission. This position supports initial engagement, clinical screening, coordination, and documentation to ensure appropriate placement and a smooth transition into care. Responsibilities Admissions & Screening - Conduct initial in-person or telephone screenings of potential clients and referents to determine eligibility for admission. - Enter assessment and admissions data into the EMR, CRM, and other electronic systems. - Handle phone inquiries and provide effective information about the treatment program. - Guide clients and families through the decision-making process, helping them prepare for admission and understand what to expect. - Efficiently complete the admission process, ensuring clients are fully aware of their rights, responsibilities, and the nature of consents and releases being signed. Insurance & Financial Coordination - Verify insurance coverage, identify financial guarantors, and arrange payment plans. Communication & Coordination - Maintain communication with referral sources and document interactions. - Coordinate with Business Development staff to expedite referrals to the facility. - Provide referrals for individuals who do not meet program criteria. - Conduct tours of the facility for prospective clients and their families. - Coordinate the timely retrieval of outside medical records. - Represent the program to referral sources, potential clients, and outside agencies in a professional and courteous manner. - Serve as a liaison between the clinical, medical, and housing teams and families, coordinating transportation and organizing admission procedures with other facilities. Operations & Compliance - Compile and track relevant admissions data and statistics. - Adhere to DCF, State, and Federal regulations, as well as accrediting agency requirements. - Be available for on-call duties in the evenings and on weekends via telephone, if applicable. - Perform other duties as assigned. Required Qualifications - Evening availability required. - Ability to manage multiple priorities in a fast-paced, remote environment. - Strong communication, organization, and customer service skills. Preferred - Bachelor’s degree in social services, management, healthcare, or a related discipline preferred. - Peer Recovery Specialist Certification a plus. - 2+ years of experience in a behavioral health or substance use disorder setting strongly preferred. - Knowledge of substance use disorders and the recovery process strongly preferred. - 2+ years of experience in admissions or case management preferred. Work Conditions / Physical & Mental Requirements Work Setting: - Remote, indoor, environmentally controlled workspace. Physical Requirements: - Frequent sitting and standing, repetitive motions, and use of hands to handle or control objects, tools, or controls. - Must be able to lift or move up to 10 lbs regularly. Communication: - Regular interaction via electronic mail, telephone, video, and other communication platforms.
