About the position The Administrative Assistant performs various administrative functions working with SAP, Power BI, Word, Excel, PowerPoint, and other special-purpose applications. This role requires maintaining a high level of confidentiality in all aspects of the business, demonstrating strong attention to detail, and possessing excellent organizational and time management skills to prioritize competing demands and meet deadlines. The candidate should be self-motivated, results-oriented, and a problem-solver with decision-making abilities. Advanced skills in Microsoft Office applications (Outlook, Excel, Word, PowerPoint, Teams) are essential, along with strong written skills for proofreading, formatting, and finalizing controlled documents. Responsibilities • Manage multiple calendars, including scheduling meetings/appointments and coordinating logistics for internal business meetings , • Create and prepare formal communications, announcements, and presentations , • Assist in planning and coordinating events such as award ceremonies, recognition celebrations, holiday parties, safety milestones, and community events , • Coordinate travel arrangements and prepare/submit expense reports , • Coordinate and participate in weekly team meetings , • Manage company procurement card and reconcile monthly statements in Concur Expense System , • Develop, maintain, and update web pages and Point sites , • Prepare, manage, compile, and update data for various month-end reports, including maintenance key performance indicators , • Establish, organize, and maintain electronic files; maintain office supply inventories and procure as needed , • Initiate and manage the formal document routing and approval process , • Process system access requests for contractors , • Develop and issue monthly KPI safety work order reports , • Collect data from multiple sources (Power BI & SAP) and update monthly KPIs , • Maintain fuel system access and monthly reports , • Maintain updates/changes to technician duty lists , • Track technician vacation schedules , • Serve as SAP Equipment Master Data Clerk , • Maintain and file documents in D2 DOCUMENTUM , • Track specialist activities Requirements • High School Diploma or GED , • Minimum of 3 years of administrative experience , • Excellent communication skills, both oral and written, with the ability to speak to individuals with confidence , • Excellent interpersonal skills, influencing skills, sound judgment, and diplomacy to coordinate manager's schedules, site-wide initiatives, and participation in public events , • Ability to simultaneously manage multiple projects and interact professionally and appropriately with people at all levels inside and outside of the organization , • Must be a self-starter who uses initiative to identify and carry out appropriate projects with minimal supervision , • Demonstrated proficiency in MS Office (Word, Excel, PowerPoint) and CMMS (ex: SAP) Nice-to-haves • Builds effective teams , • Collaborates , • Cultivates innovation , • Customer focus , • Demonstrates courage , • Drives results , • Ensures accountability Benefits • 401(k) Plan with Company Match , • Retirement (Pension) Plan , • Employee Stock Purchase Plan , • Educational Assistance , • Choice of Preferred Provider or Consumer Driven Medical Plan including Prescription Drug Coverage , • Dental, Vision and Employee Assistance Program , • Flexible Spending Accounts , • Life, AD&D and LTD Insurance Apply Now
